The deployment of Copitrak across Taylor Vinters’ UK offices offers a platform to recover costs, manage expenses and control their print and scan environment while increasing productivity, security and workflow efficiency. The initiative was undertaken as part of a drive to find a stronger, more enhanced alternative to their previous nQueue solution which was able to support the firm’s rapidly expanding business requirements.
Cost Recovery and Expense Management
Fully integrated with Taylor Vinters’ Multi-Functional Devices (MFDs) and HP Worksite Document Management System (DMS), Copitrak automatically tracks chargeable copies, prints, scans and other disbursement costs related to a matter. Essentially, Taylor Vinters can now maximise recovery on billable expenses and manage costs. At the same time they are able to offer their clients greater clarity over the charges incurred thanks to the itemised billing generated by Copitrak, and establish increased levels of trust.
The Secure Print function enables Taylor Vinters’ employees to print documents directly from HP Worksite and release these at any MFD via user authentication. Firstly, this presents a more flexible and seamless experience for users as they can release a print from any device – If a device is down or in use, employees can simply print from another MFD. Secondly, as prints can only be released after authentication at the device, it ensures that confidential documents are not compromised by being left exposed at the printer for greater firm-wide security. Finally, Copitrak Secure Print is a tried and tested way of reducing the paper usage and cost in the firm. By only releasing the print jobs that are actually required, users are less likely to print and recycle documents.
Using advanced Optical Character Recognition (OCR) technology, Copitrak Scan converts documents into high quality, fully editable files which can be searched and automatically indexed. Once scanned, rather than emailing files to themselves or sending them to a generic ‘scanned documents’ folder, users can save these straight into the appropriate folder within HP Worksite. By eliminating many manual steps between the scanning and saving process, Taylor Vinters’ employees can save time and effort.
